APS4 Executive Assistant

EA opportunity at the APS4 level | 12-month non-ongoing contract, option to extend | Admin experience necessary, legal background highly desirable

This Federal Government department develop and deliver policies and programs and advise the Australian Government on health, aged care and sport. We work with a wide range of stakeholders to ensure better health for all Australians.

Aged care provides support for older people to help them with everyday living and other needs. 

The Opportunity

This is an opportunity to work in the Corporate, Commercial and Litigation Branch, who provides strategic level advice to the Secretary, the Executive and the line areas of the Department, on matters of litigation, dispute resolution and commercial law.

Initially a 12-month contract, there is strong prospects for extension or permanency for high performing candidates.

The Role

The APS4 Executive Assistant position reports to the General Counsel (SES1) of a legal branch.

The position works under general direction and is responsible for the delivery of timely, efficient and effective high level administration and executive support.

The position manages front-of-office functions in a high-volume environment, including managing diaries, workflow, appointments and correspondence, organising events, coordinating travel and collating documentation. 

Duties include:

  • Acting as the first point of contact including greeting visitors, receiving and responding to phone calls, emails and correspondence and ensuring a high level of customer service to all staff and external parties;
  • Diary management including prioritising the SES time and drawing attention to matters of priority;
  • Assisting with coordinating branch/divisional administrative tasks (eg. phone lists, leave register, senate estimates responses, property and accommodation);
  • Coordinating meetings with internal and external stakeholders and ensuring the SES has all required information for meetings
  • Initiating and ordering supplies and equipment, processing accounts for payment and coordinating, collecting and analysing information for monitoring purposes
The Person

You will be friendly and influential with the ability to confidently liaise across senior staff and external bodies. Providing support to your team and building working relationships with them will be a part of your career you most enjoy.

You will need to be up for a challenge, with the ability to work across competing deadlines and provide support to multiple areas at once. Your time management and organisation skills will be paramount in this role. In addition, you will be able to work in a fast-paced and fluid environment and be adaptive to change.

You must be an Australian Citizen, and eligible to maintain a Baseline security clearance to be considered.

  • Salary of $82k + 15.4% Super
  • 12-month non-ongoing contract with extension options
  • Southside location
